Who we are

We are PPEFIX LTD (“PPEFIX”, “we”), a company registered in England and Wales (no. 16756430), with our registered office at 3rd Floor, 86–90 Paul Street, London EC2A 4NE. We’re registered with the Information Commissioner’s Office (ZC182774). We build software that helps trade and workshop firms keep their PPE, inspection, training and safety records.

Contact us about your information at [email protected], or by post to the registered office.

What this notice covers

This notice covers this website, the founding list, Book a chat requests, and the businesses we contact about PPEFIX. PPEFIX isn't open yet, so this website has no accounts or sign-in. We decide how this information is used: we’re the controller.

What we collect, and where from

  • For the founding list: your first name, business name, trade, town and email address, from the form on this website, with the wording you agreed to and when.
  • For Book a chat: your name and business name, your phone number or email address (or both), what you’d like to talk about, the best time to call and any message, from the form on this website.
  • Business contact details: from business directories, Companies House, your website, or someone who introduced us.
  • Emails you send us, and our replies.
  • Your device’s IP address, which every website receives. See Keeping the forms safe from misuse below.
  • Running the founding list (an email asking you to confirm your address, then emails about opening and occasional updates): your consent, which you can withdraw at any time.
  • Replying to Book a chat requests and emails: legitimate interests.
  • Contacting businesses about PPEFIX (we send no cold emails or texts to sole traders or partnerships): legitimate interests (business-to-business marketing).
  • Keeping the forms safe from misuse and the website secure: legitimate interests. See Keeping the forms safe from misuse below.
  • Keeping a “do not contact” list: legitimate interests, and respecting your objection.

You have an absolute right to object to direct marketing. Tell us and we’ll stop.

Keeping the forms safe from misuse

When you visit this website or send one of its forms, our server receives your device's IP address, as every website does. When you use one of the forms, we use your IP address to block repeated or automated submissions and to keep the website secure, on the basis of our legitimate interests. Our server keeps the address in its memory only to count recent form requests, for at most an hour, and doesn't save it with anything you send. Our server doesn't write your IP address to its logs. We don't send it to Brevo. DigitalOcean, our hosting provider, handles it to serve the website. Its network, run by Cloudflare, also uses it to tell people from bots and to protect the website from automated attacks.

Who we share it with

Only the service providers that run this website for us, professional advisers, or where the law requires it. We don’t sell personal information. The service providers are:

  • DigitalOcean, which hosts this website in London.
  • Brevo, which sends our emails and holds the founding list.
  • Microsoft, which runs our business email and the lists where we keep contact records (Microsoft 365). Book a chat requests and your emails arrive there.

International transfers

Brevo stores data in the EU (France, Germany and Belgium). UK law recognises the EU as giving adequate protection (UK adequacy regulations), so no extra safeguard is needed. We use Microsoft 365 for email, documents and Teams. Microsoft stores this data in the United Kingdom. Microsoft may process some data outside the UK, for example for spam filtering, support or security, under its standard data protection safeguards.

How long we keep it

  • Book a chat requests, emails and contact details: 12 months after the last contact, or, for businesses we found but never contacted, 12 months after we collected their details.
  • The founding list: until you leave, or 12 months after we invite you to use PPEFIX.
  • Our “do not contact” list: the minimum details only, kept so we can keep the promise.

Your rights

You have the right to see the information we hold about you, to have it corrected or deleted, to restrict or object to how we use it, to move it to another service (portability) and to withdraw your consent. There’s no charge in normal cases. Requests about your personal information are answered within one month.

Complaints

Please tell us first, by email to [email protected]. We'll acknowledge your complaint within 30 days, look into it and tell you the outcome.

You can also complain to the Information Commissioner's Office (ICO), the UK's data protection regulator. Its helpline is 0303 123 1113, Monday to Friday, 9am to 5pm. Make a complaint on the ICO website.

Automated decisions

We make no automated decisions that have legal or similarly significant effects on you.
